Responsibilities

The Business Office Manager is a critical leader in a substance abuse facility, overseeing financial operations to ensure financial barriers to treatment are addressed for patients as well as meeting/exceeding all patient financial collection goals. This position requires exceptional organizational skills, financial acumen, and managing multiple priorities while maintaining a supportive and
professional environment.

 

Duties and Responsibilities:
● Manage the Patient Financial Responsibility Program and supervise business office staff,
ensuring program goals are met.
● Collaborate with facility leadership to align financial goals with operational needs.
● Ensure accurate patient records, financial transactions, and regulatory compliance.
● Work with the Director of Financial Case Management and external utilization review team to
identify and resolve billing and payment issues.
● Define and monitor collection KPIs for the facility and oversee day-to-day administrative
functions like benefits coordination and insurance inquiries.
● Continuously improve office systems and provide performance reviews and recommendations.
● Implement standardized policies, procedures, and workflows to streamline collections and
ensure compliance with organizational objectives.
● Optimize interactions between Admissions Navigators, patients, and the Business Office team.
● Develop and manage training programs for effective collections and patient interactions.
● Update educational materials on patient financial responsibility, regulations, and coverage.
● Facilitate ongoing learning to improve collection KPIs.
● Coordinate with Business Office Managers to share best practices and address facility-specific
challenges.
● Collaborate with utilization review staff to ensure consistent strategies across facilities.
● Identify and implement process improvements to enhance collections and patient satisfaction.
● Use data analytics to drive higher collection rates and align strategies with organizational goals.
● Generate KPI progress reports and provide strategic insights.

Qualifications

  • Bachelor's Degree in Business Administration preferred and/or a combination of five years of sales experience.
  • 5+ years of high-volume sales/collections experience and understanding of KPIs, including cash-collected conversion rates.
  • Demonstrated knowledge of sales strategies and confidence to discuss private pay/out-of-pocket costs with clients with varying socioeconomic backgrounds.
  • Knowledge of Managed Care, including understanding how clients are authorized for levels of care, how insurance policies reimburse specific to facility location, in-network vs. out-of-network insurance, and in-network contracts.
  • Strategic and proactive thinker, ability to problem-solve financial data or trends.
  • Customer Orientation – must establish and maintain long-term client relationships and build trust and respect by constantly meeting and exceeding expectations.
  • Advanced ability to read and interpret written information; write clearly and informatively; edit work for spelling and grammar.
  • Ability to speak clearly and persuasively in positive or negative situations; listens and gets clarification; responds well to questions; demonstrates group presentation skills; and participates in meetings.
  • Advanced knowledge of Google Suite, including Sheets, Docs, Drive, and Gmail.
  • Ability to perform multi-functional tasks; detail oriented.
  • Ability to use critical thinking and communication skills.

All positions require a TST, MMR Titer, the ability to pass a pre-employment drug screening, and satisfactory criminal background records check.
