Responsibilities

Position Summary:

The HRIS Analyst is responsible for the strategic configuration, maintenance, and optimization of AAC’s UKG Pro Human Capital Management (HCM) system, including Business Intelligence (BI), Payroll, Benefits, and Workforce Management (WFM) modules. This role serves as a technical expert and cross-functional partner supporting HR, Payroll, Finance, and Benefits compliance. The HRIS Analyst plays a critical role in producing accurate, real-time workforce data and supporting operational and regulatory reporting across the organization.

 

Duties and Responsibilities: 

UKG Pro System Administration & Optimization

  • Configure and maintain UKG Pro modules, including Core HR, Payroll, Benefits Administration, WFM, Talent Management, and HR Service Delivery.
  • Lead support for the final rollout of Workforce Management (WFM) across remaining facility locations, partnering with HR Business Partners and Corporate HR to ensure system readiness and user adoption.
  • Assist with HR Service Delivery implementation, including knowledgebase setup and case workflow design.
  • Troubleshoot system issues, perform data audits, and recommend process enhancements to improve system accuracy and user experience.
  • Run ad hoc reports and support HR users in building or refining reports using UKG’s standard and BI tools.
  • Interface Management & Vendor Feeds;
  • Configure, test, and maintain inbound and outbound data feeds (e.g., benefits carriers, COBRA administrators, 401(k) providers, background screening, etc.).
  • Act as the technical lead for third-party interface implementation, monitoring, and issue resolution.
  • Coordinate directly with UKG and external vendors to establish or modify scheduled data integrations, ensuring secure and compliant file transmissions.
  • Audit feed logs and resolve exceptions or failed transmissions in partnership with internal stakeholders.
  • Maintain documentation related to data mapping, transmission protocols, and integration specifications.

Payroll, 401(k), and Benefits Reporting Compliance

  • Ensure all HRIS configurations align with payroll operations to support accurate pay processing, earnings, deductions, and tax setups across all legal entities and jurisdictions.
  • Develop and manage scheduled and ad hoc reports to support:
  • Payroll audits and tax reconciliation.
  • 401(k) contribution and match monitoring (e.g., eligibility, auto-enrollment, match true-ups).
  • ACA measurement and 1095-C reporting.
  • Benefits eligibility and enrollment audits (e.g., carrier file validations).
  • Dependent verification tracking, COBRA reporting, and leave-of-absence coding consistency.
  • Serve as the HRIS liaison to Payroll for quarterly and year-end processing (e.g., W-2s, 941s, W-3 reconciliation).
  • Partner with Payroll and Finance to ensure proper GL mapping, position costing, and labor allocation reporting.

Advanced Reporting & Business Intelligence

  • Design and maintain BI reports using UKG Pro (Cognos), including complex queries, joins, subqueries, and dynamic filters.
  • Support Finance and Executive Leadership with headcount, compensation, and vacancy metrics tied to position control and P&L impact.
  • Automate and streamline recurring reports, dashboards, and alerts for compliance, operations, and HR leadership.
  • Clean up and restructure legacy reports to enhance accuracy and usability across functions.

Data Governance, Compliance & Audit Readiness

  • Perform routine audits to ensure accuracy of employee, job, pay, and benefits data.
  • Ensure readiness for:
  • EEO-1, and state-level reporting.
  • FLSA exemption validation.
  • State licensure/staffing compliance (e.g., ratio-based reporting for treatment facilities).
  • Internal and external audits (e.g., DOL, IRS, independent 401(k) and benefits audits).
  • Maintain audit trails and documentation for configuration changes and business process updates.

Cross-Functional Collaboration & End-User Support

  • Serve as a technical partner to HR, Finance, Payroll, IT, and Operations to align HRIS capabilities with business needs.
  • Provide support and training to HR users on system enhancements, report generation, and data entry best practices.
  • Troubleshoot system issues and guide users in resolving data conflicts or discrepancies.
  • Assist with implementation of new modules within UKG Pro, and/or third-party integrations that impact the employee lifecycle.

Qualifications

Education/Experience:

  • Bachelor’s degree in Human Resources, Information Systems, Accounting, or related field.
  • 5+ years of hands-on experience in UKG Pro (UltiPro) with proven ownership of reporting, payroll integrations, or system configuration.
  • Experience with UKG Business Intelligence (Cognos) and Excel-based data transformation.
  • Demonstrated knowledge of payroll and benefit compliance frameworks (ACA, 401(k), W-2/W-3, etc.).
  • High attention to detail and ability to manage confidential data.
  • Exceptional analytical skills with the ability to interpret complex data sets, identify trends, troubleshoot system issues, and develop actionable insights to support HR and organizational decision-making.
  • Experience with UTM preferred, Workforce Management (WFM) experience required including preferred experience post implementation of WFM.
  • Prior work in healthcare, behavioral health, or multi-state, hourly workforce environments.
  • Familiarity with HR compliance filings (e.g., 1095-C, EEO-1, VETS-4212).
  • UKG Pro certification or related system training preferred.
