Responsibilities

Job Summary:

The Training & Systems Analyst plays a key role in advancing American Addiction Centers’ (AAC) commitment to employee engagement, operational excellence, and regulatory compliance through strategic oversight of HR systems, training platforms, and onboarding initiatives. This role blends technical expertise in UKG Pro and HealthStream with a hands-on leadership presence in New Hire Orientation, staff training, and performance program support. 

 

In collaboration with HR, Operations, Clinical, and Quality teams, the analyst ensures that employees are onboarded effectively, remain engaged through consistent recognition and development practices, and that compliance with accrediting bodies and internal expectations is achieved. Additionally, this role supports initiatives that drive staff retention, performance review participation, and a culture of service excellence across AAC’s national footprint.

 

Key Responsibilities:

HRIS System Support – UKG Pro & WFM 

  • Serve as a technical and training partner in the configuration, maintenance, and enhancement of UKG Pro and Workforce Management (WFM) modules.
  • Lead configuration and training support for the final rollout of WFM across remaining facility locations, partnering with HR Business Partners and Corporate HR to ensure system readiness and user adoption.
  • Support the design and implementation of real-time Facility Position Control and Vacancy Reporting in collaboration with Finance, IT, and Operations; provide ongoing system maintenance and training as needed.
  • Assist with HR Service Delivery implementation, including system configuration, knowledgebase setup, and case workflow design.
  • Troubleshoot data and access issues, run ad hoc reports, and contribute to HRIS best practices that improve data integrity and user experience.
  • Act as a training liaison to support HR, operations/leadership, and staff in understanding and using HRIS functionality effectively.

Training & New Hire Orientation

  • Lead the assessment, refinement, and regionalization of AAC’s New Hire Orientation (NHO) program across all corporate and facility locations.
  • Conduct audits of designated NHO facilitators to ensure compliance, consistency, and effectiveness in training delivery.
  • Serve as the subject matter expert for onboarding curriculum, working to ensure all components meet CARF, TJC, and state-specific standards.
  • Maintain accountability for completion of training documentation uploads in UKG Pro to ensure accurate employee training records.
  • Engage operations and HR leaders for continuous feedback to enhance the NHO experience and align content with evolving business needs.
  • Train regional NHO facilitators and support field-based HR Business Partners with additional training initiatives, such as leadership development, policy updates, and system onboarding.

LMS Oversight – HealthStream

  • Manage and monitor assignment of regulatory and compliance courses in the HealthStream LMS for all AAC locations.
  • Ensure curriculum is aligned with federal, state, TJC, and CARF requirements, adjusting assignments in coordination with Clinical and QA leaders.
  • Generate and distribute monthly and quarterly training compliance reports to leadership.
  • Support audits and readiness activities related to training compliance as part of accreditation or state inspections.

Staff Engagement & Retention 

  • Promote and support the use of Mid-Year Check-Ins and Annual Performance Reviews within UKG Pro, including system configuration, in partnership with HR leadership, provide training to staff and leaders, and troubleshooting user issues.
  • In partnership with CHRO, VP, Organizational Engagement and Senior Leadership Team members, contribute to the ongoing implementation of Service Vision, Service Values; includes training support to our Service Excellence Ambassadors.
  • In partnership with HR and SLT, design, develop and implement staff recognition across the organization.

Qualifications

Education & Experience:

  • Bachelor’s degree in Human Resources, Business, Education, or related field preferred.
    2+ years of experience in training coordination, HRIS support, or LMS administration.
  • Hands-on experience with UKG Pro (UltiPro) and/or HealthStream strongly preferred.
  • High attention to detail and comfort with system configuration, reporting, and training delivery.
  • Strong organizational, communication, and interpersonal skills, with the ability to work collaboratively across departments.
  • Demonstrated success working independently in a fully remote role.
