Job Summary:

The Project Coordinator is responsible for tracking and stabilizing projects, removing roadblocks, and anticipating client needs to ensure that our cross-functional teams, clients, contractors, and vendors can proactively solve problems within a stable environment. The Project Coordinator is aslo responsible for supporting and executing the efforts of the Portfolio & Project Management Office by aligning with AAC’s strategic goals and vision.


Reports To: Sr. Project Manager


Job Duties:

  • Work with Portfolio & Project Management Office to ensure projects and jobs are prioritized and aligned with business objectives
  • Assist the project managers with project planning, including working with team leads, contractors, and vendors, to define project scope and goals, identify resources, and create and manage project schedules
  • Maintain day-to-day tasks and project status within the project management tools for team-wide use
  • Constantly monitor progress and communicate project status to all stakeholders
  • Identify and implement creative services process improvements to ensure the efficient achievement of project goals
  • Maintain promotional and branded items programs, including order placement, vendor management, and cost/budget management
  • Reduced cycle time, and delivery costs
  • Improved quality of project deliverables
  • Early identification of project issues, budget, scope, and risks
  • Elimination of duplicate data and processes among project teams
  • Improved collaboration and communication across internal and external project teams


Job Requirements:

  • BA/BS degree in a marketing or graphic design discipline or equivalent practical experience
  • Proven experience managing complex creative production tasks, with an established track record in collaborating successfully with in-house production teams
  • Creative agency experience is a MUST
  • Superior organizational skills with ability to multi-task, prioritize assignments, and meet tight deadlines
  • Natural, clear communicator with a humble and direct approach to project management
  • Meticulous attention to detail, including maintaining accurate records and diligently tracking key project metrics
  • Enthusiasm for working with customers and supporting internal projects and senior leadership, bringing order and efficiency to critical
  • Experience maintaining digital asset management systems is a plus
  • Experience with various project management methodologies (Waterfall, Agile/Scrum, etc.) and Atlassian products (JIRA/Confluence)
  • Candidates in recovery must have 2+ years of sobriety.
