Responsibilities

Job Summary:

The Service Coordinator works within the treatment facility as a conduit for communication and action between AAC facilities and Business Development. The Service Coordinator works cohesively with facility departments, monitors processes, collects data, streamlines communication, expedites solutions, and is knowledgable of both treatment facility operations and business development needs and functions.  The Service Coordinator also acts in a concierge capacity for clients, families, and referents, and works collaboratively with facility staff at all levels to improve service quality, patient experience, and referent satisfaction.

 

Duties and Responsibilities:

  • Builds and maintains productive relationships interdepartmentally, with key facility staff, and with business development team members.
  • Maintains a thorough understanding of clinical programming, daily schedule, amenities, operations, staffing, facility changes, and various other aspects of the assigned treatment facility. Reports findings periodically.
  • Maintains thorough understanding of business development needs, community partners, and various referent protocols.
  • Participates in all business development and facility meetings as assigned, conducts daily meetings as needed to execute duties.
  • Supports business development efforts through the provision of facility specific knowledge
  • Welcomes new patients and families to the AAC experience at assigned facility.
  • Monitors pending admissions to assist in removing barriers, follow-up on admission approval requests, and further streamline admissions process.
  • Ensures that all necessary releases of information and communications to concerned parties are completed at admission (as directed by business development).
  • Expeditiously and effectively acts on and resolves inquiries and tasks as assigned by Business Development Relations Manager.
  • Maintains an open line of communication between assigned facility and other parties as assigned/needed.
  • Manages all client and business related communication through CRM and email remotely, via AAC provided smart mobile devices. Communication may fall outside of regular business hours (including weekends).
  • Assist in extending average length of stay through exploring options for privately pay, step-down to lower levels of care, and utilize Brand Promise.
  • Monitors aftercare planning process for referent protocol adherence.
  • Increases awareness of and assists in identification of new potential community partners.
  • Monitors aftercare planning and assists the clinical team in collaboration with business development and as outlined by referent protocol. Builds reciprocity with local community partners through collaboration with facility case management and business development staff.
  • Assists in early intervention and identification of patients at risk of AMA, participates in interventions to block AMAs, and reduces AMA rates through regular patient engagement and establishment of rapport with patients.
  • Tracks and reports facility metrics in an organized professional format as assigned by need and frequency (weekly/monthly).
  • With high-level professionalism, hospitality, and facility specific knowledge and expertise, leads facility tours with referral sources, prospective clients/families, and other parties as designated. Manages facility tour schedule and coordinates with departments within the facility for scheduling.
  • Strictly adheres to HIPPA and federal drug and alcohol confidentiality law and state guidelines.
  • Adheres to all expense limitations and guidelines and submits monthly expenses via Expensify by the designated deadline.
  • Regular and consistent attendance is expected.

Qualifications

Education/ Experience: 

  • 2+ years related experience and/or training in an inpatient addiction treatment environment and knowledge of substance abuse industry; or equivalent combination of education and experience
  • Basic clinical background/experience/understanding
  • Bachelor’s Degree in clinical/counseling discipline preferred
  • Ability to work with all staff levels (executive level to direct care)
  • Organizational skills
  • Effective Time-management
  • Excellent customer service and relationship building skills
  • Technologically savvy
  • Excellent oral and written communication skills
  • Ability to prepare and facilitate presentations
  • Ability to create reports outlining various metrics
  • Knowledge/experience in the business development space preferred
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations
  • Possesses the ability to multi-task, work with minimal supervision and problem solve through a variety of scenarios.
  • Has a sound understanding of treatment modalities, levels of care, and industry best practices for treating substance use and co-occurring disorders.
  • Ability to clearly communicate with key members of various departments
  • Ability to build relationships and work within and between multiple departments

Certifications and Licenses

  • Valid Driver’s License and ability to pass an MVR check

  • Expected hours of work: Full-Time, Hours May Fluctuate, Must Be Available and Responsive During Evening, After Hours, and Weekends
